What's New in SpecNook — Spring 2026

We've been listening to contractors, and this release tackles one of the biggest requests we've heard: better subcontractor management. But we didn't stop there. This update brings five new features that help you run tighter projects, track costs more accurately, and save time on repetitive setup work.

Here's everything that's new.

Subcontractor Management

Available on: Starter, Pro, and Enterprise

Managing subcontractors used to mean a spreadsheet with phone numbers and a filing cabinet full of W9s. Now it's all in one place.

With SpecNook's new subcontractor management, you can:

  • Add and organize your subs — store contact info, trade specialties, license numbers, and insurance details for every subcontractor you work with.
  • Track W9 documents — upload and manage W9 forms directly on each sub's profile. No more digging through email attachments at tax time.
  • Assign subs to projects — link subcontractors to specific projects so you always know who's working where.

Think of it as a lightweight CRM for your subs. Every piece of information you need about a subcontractor is one click away, organized by project and ready when you need it.

Subcontractor Cost Tracking

Available on: Pro and Enterprise

Knowing who your subs are is one thing. Knowing exactly what you're paying them — per project, per contract — is another. That's where subcontractor cost tracking comes in.

This feature lets you:

  • Create contracts per sub per project — define the scope and agreed amount for each subcontractor on each job. No more mental math or cross-referencing invoices.
  • Record payments — log every payment made to a sub, with dates and amounts. See the balance remaining on each contract at a glance.
  • Automatic lien waiver generation — when you record a payment, SpecNook can generate the corresponding lien waiver automatically. No more chasing subs for paperwork after the check clears.

For general contractors running multiple projects with multiple subs, this feature alone can save hours of bookkeeping every week. You'll know exactly where your money is going — and you'll have the documentation to prove it.

QuickBooks Integration

Available on: Pro and Enterprise

If you're already using QuickBooks Online to manage your business finances, you no longer need to manually recreate customers and projects in SpecNook.

The new QuickBooks integration lets you:

  • Import customers from QuickBooks — pull your existing customer list into SpecNook with one click. No duplicate data entry.
  • Sync projects — link QuickBooks projects to SpecNook projects so your financial data stays connected.

This is a one-way import designed to save you setup time. Your QuickBooks data stays in QuickBooks — SpecNook just reads it so you don't have to type it twice.

To get started, connect your QuickBooks Online account from Settings → QuickBooks. The setup takes about two minutes.

Maintenance Guides

Available on: Pro and Enterprise

The project doesn't end at the final walkthrough. Clients need to know how to maintain what you built — how to clean their new tile, when to reseal their countertops, how to care for their hardwood floors.

With maintenance guides, you can:

  • Create guides for common materials and systems — write once, reuse across projects. Build a library of maintenance instructions for tile, paint, countertops, fixtures, and anything else you install.
  • Share guides through the client portal — clients access their maintenance guides through the same portal they used during construction. No separate emails or PDFs to manage.

This is a small touch that makes a big impression. Clients appreciate the professionalism, and you reduce callback calls from homeowners who don't know how to care for their new kitchen.

Selection Templates

Available on: Pro and Enterprise

If you build similar types of projects, you probably set up the same selection categories over and over. Kitchen remodels always need tile, countertops, cabinets, hardware, paint, and fixtures. Bathroom renovations have their own standard list.

Selection templates let you:

  • Define reusable category sets — create a "Kitchen Remodel" template with all the standard selection categories pre-defined.
  • Apply templates to new projects — when you start a new kitchen job, apply the template and all your categories are ready to go. No manual setup.

It's a simple time-saver that adds up fast when you're running multiple projects. Less setup time means you can focus on the work that actually matters.
